Artwork Requirements for Name Badges and Signs
To produce the highest quality name badges, signage, and printed materials, we require artwork in specific file formats. This guide will walk you through everything you need to know before sending us your logo or design files.

1. File Format Requirements
We recommend using vector files for all logo printing. Vector files are resolution-independent, meaning they print cleanly at any size without pixelation or blurring.


Accepted file formats (Vector - Ideal for Print):
- AI (Adobe Illustrator)
- CDR (Corel Draw)
- WMF (Windows Metafile)
- EPS (Encapsulated PostScript)
- SVG (Scalable Vector Graphics)
- PDF (with editable vector elements, preferred)
If you are submitting raster files, make sure they are high-resolution (minimum 600 DPI) to prevent blurriness or pixelation.

Accepted But Not Ideal:
- PSD (Photoshop files with high-res layers)
- TIFF (High-resolution only)
- JPG/JPEG (High-resolution only)
- BMP or PNG (Only if 600 DPI or higher, without gradients or fading)
Not Recommended:
- GIF files
- Low-resolution JPG or PNG files (under 600 DPI)
- Bitmaps under 300 DPI
- Files created in Word, PowerPoint, or spreadsheets
Note: Logos or images taken directly from websites are not suitable for printing as they are typically low-resolution (72 DPI).
2. Print Area and Bleed Guidelines
For accurate printing and alignment, always refer to your specific badge template.
- Maintain a 1/8 inch margin from the edge of the badge to prevent distortion under the lens cover.
- Use the correct print area and bleed for your badge size to avoid clipping or misalignment.
Example badge sizes: - Medium Rectangle: 3.00" x 1.00" (print area 2.75" x 0.75", bleed 3.125" x 1.125")
- Medium Plus Rectangle: 3.00" x 1.50" (print area 2.75" x 1.25", bleed 3.125" x 1.625")

3. PDF Guidelines
If you are submitting a PDF, ensure it is saved as a High Resolution Press Quality PDF. This keeps colors, fonts, and outlines intact for printing.
Avoid creating artwork in word processors or presentation software. Instead, use design tools such as Adobe Illustrator, CorelDraw, or QuarkXPress to export your artwork as Press Quality PDFs.
4. Color Matching
When specifying colors, please provide the Pantone Matching System (PMS) code using the Coated (C) version of each swatch.
We print using the CMYK color model, and if a Pantone color is provided, our team will match it as closely as possible within CMYK printing limitations.
Accepted color formats:
- Hex (#e11a2b)
- RGB (225, 26, 43)
- CMYK (0, 100, 91, 5)
- HSB (354°, 88%, 88%)
- Pantone®
If no PMS color is provided, we will choose the closest visual match and send it to you for approval before printing.
4. Fonts and Text
To avoid font compatibility issues, always convert your fonts to outlines before sending:
- Adobe Illustrator: Select all text → Right-click → Create Outlines
- Corel Draw: Select text → Convert to Curves
If your design uses a specific font from your brand guidelines, include the PC font file with your artwork. We’ll add it to our font library.
Recommended fonts: clean sans-serifs such as Arial, Helvetica, Roboto, or Open Sans.
Font sizing and readability tips:
- Names: 14–16 pt
- Titles or secondary text: 10–12 pt
- Print your design at actual size to confirm that text is clearly legible from 2–3 feet away.
- Use the longest expected name or title in your layout to ensure consistent alignment across all badge variations.
5. What If You Don’t Have a Vector File?
Vector artwork is always preferred. If you only have a JPG or PNG, contact your account manager or Customer Service. Our team can assess your file and let you know if it can be converted into a print-ready format.
Note that JPG or PNG files may not print as clearly, especially when enlarged for signage or large logos.
6. Tips for a Smooth Upload
- Use clear file names (e.g., “YourCompany_Logo_Outlined.ai”)
- Include only relevant files to avoid confusion
- Double-check spelling and formatting before uploading
- Confirm your design follows your brand’s color and size guidelines
