What Should I Do If My Badges Aren’t Aligned Correctly When Printing?

If your badge inserts are printing out of alignment like names or logos not lining up with the insert cutouts, it’s usually due to a print setting mismatch. This is a common issue, especially when using a new printer, browser, or switching between templates.

The good news? Most alignment issues can be fixed in just a few steps.

 

1. Check Print Scale Settings

Incorrect scaling is the most common cause of misalignment. Always: 

  • Set Scale to 100% or Actual Size
  • Turn off “Fit to Page” or any auto-scaling feature
  • Double-check that your printer isn’t applying default resizing behind the scenes

If the scale is off, even slightly, your layout will shift and no longer match the insert cutouts. 

 

2. Confirm Template and Badge Size Match

Make sure the template you selected matches the physical badge size you're printing on. If you’re using a layout for a 3x1 badge but printing on a 1.5x3 insert sheet, the design won’t align correctly even if the scale settings are correct. 

 

3. Always Run a Test Print

Before printing on your actual insert sheets: 

  • Print a test page on plain white paper
  • Hold a blank insert sheet over the test print
  • Check that names, logos, and text line up with the insert windows

This simple step can save materials and prevent wasted prints.

 

4. Use the Right Browser Settings (NPG Cloud & Design Studio)

If you're printing from a browser-based tool like NPG Cloud or Design Studio: 

  • In Google Chrome
    Set scale to 100%, turn off “Fit to Page,” confirm correct paper size
  • In Microsoft Edge
    Use Actual Size, choose the correct paper layout, double-check settings before printing 

These settings must be checked each time you print, since browsers control print output independently of the software. 

 

4. Check Print Preview Then Your Printer

If the print preview looks correct, but the printed insert is still misaligned:

  • The issue may be with the printer itself
  • Make sure your printer is set to the correct paper size (Letter or A4)
  • Turn off printer features that auto-adjust margins or scale content
  • Feed the insert sheets according to your printer’s recommended tray and orientation
